The challenge

Enrollment and marketing data lived in two systems that didn't talk to each other: a CRM used for day-to-day family and enrollment management, and Klaviyo for email marketing. Across six centre locations, keeping contact lists, tags, and campaign targeting accurate meant manual reconciliation, which meant it inevitably fell behind.

What we built

  1. CRM-to-Klaviyo sync, not a one-time export

    We built an ongoing sync between the CRM (Owna) and Klaviyo, so contact records, tags, and list membership update automatically as enrollment data changes, instead of a periodic manual export.

  2. Location-aware segmentation

    With six centres in the group, campaigns needed to reach the right families for the right location. The sync preserved location and programme data so Klaviyo segments stayed accurate without manual tagging.

  3. Built with the agency team, not around them

    This system was delivered working alongside the client's existing marketing and account team, integrating into their workflow rather than replacing it.

The outcome

Contact and campaign data now stays consistent across all active centre locations without a team member manually reconciling lists between systems. We haven't published a specific time-saved or open-rate figure for this account because we don't have an independently verified before/after number on file, the same standard we hold the rest of these case studies to.
